Privacy Policy
Effective October 20, 2026
This policy explains what information Shaadi Planning ("we", "us") collects through shaadiplanning.app, our wedding websites, the Photo Groups guest pages and our apps for iPhone and Android (together, "the Service"), why, who it is shared with, how long we keep it and the choices you have. The Service is run by DJ RAHUL LLC, doing business as Shaadi Planning. For any privacy question or request, write to support@shaadiplanning.app.
Who It Is For
The Service is for couples, their families and their planners, who must be 18 or older (or the age of majority where they live, if that is higher) to open an account or buy anything. Guests use their own pages (an RSVP link, the wedding website, the photo-group finder) without an account. The Service is not directed at children under 13, and we do not knowingly collect personal information from them (see Children below).
What We Collect
- Your account: your name, email, the names on your wedding, your wedding date and city, and how you sign in (Google, Apple, Facebook or an emailed code).
- Your wedding workspace: events, checklist, budget, vendors, documents you upload, seating and the floor plan, and the guest list you build: guest and household names, party sizes, which events they are invited to and their RSVPs.
- Meeting recordings you choose to make: when you use Meeting Notes, the audio you record in the Service or upload (a vendor call, a venue visit, a tasting, a family meeting), or the transcript or notes you paste, and the notes made from it: a transcript, a summary, decisions, action items and the prices mentioned. Nothing is recorded unless you start it, and the Service shows that it is recording the whole time.
- Contacts you or your guests add: mailing addresses, phone numbers and emails, for invitations, thank-you cards and messages. They are visible to you and the people you give full access, never on the public website.
- What guests send: RSVPs and answers, wishes, photos (shown only after you approve them), questions, song requests and gift notes.
- Photo Groups: each guest's name and photo groups, and the mobile number or email you or the guest add; the guest's agreement to get texts when they give their number on our form, with the time.
- Planner messages: when a planner emails you, or anyone, from their portal, the message, its attachments and your replies are stored to show them in the planner's portal and sent through our email provider (Resend); these messages may include open and click tracking (whether the email was opened and which links were clicked), and automated ones carry a link to stop them.
- Couples' messages: when a couple emails their guests or vendors from Messages, or someone writes to a vendor with Message This Vendor in our directory, we send the message through our email provider (Resend) and store it, with any replies, so the couple can see the conversation; each email to a guest has a link to stop emails from that wedding, which we honor.
- Inquiries to a planner: when you send a planner's Check Availability form (on their page here or on their own website), the details you give go to that planner and are stored in their planner portal, which they control, to answer you; ask the planner to delete them at any time.
- Messages with us: what you write to support, our replies, and the record of any time our support team was allowed to look at your planner.
- Payments: Stripe takes your card. We see that you paid, the amount and Stripe's reference, never your full card number. A domain you buy is registered with the contact details you give, as domain rules require.
- Your device: if you turn on notifications, your device's push token; the sign-in cookie that keeps you signed in; and basic diagnostics when something goes wrong (the page, the error and your browser type), without your guest data.
- Visit counts: see Visit counts below. No advertising identifiers, ever.
Why We Use It
To run the Service you asked for: your planner, your wedding website, RSVPs, Photo Groups, messages to your guests, payments, sign-in and support. To keep the Service secure and prevent abuse (rate limits, fraud checks, the history of sign-ins and changes). To tell you about your wedding (alerts and the daily summary you turn on) and about your account. To write meeting notes when you ask for them: audio you choose to record or upload is transcribed by our AI provider, the audio is deleted as soon as it has been transcribed, and the transcript and notes are kept with your wedding. To meet our legal duties, such as keeping payment records. We do not sell, rent or share your information or your guests' information with anyone for marketing, and we do not use it to track you across other apps or websites.
What the App Stores Call This
- Data linked to you: contact info (name, email, phone you add), user content (your plan, photos, messages, guest list, and meeting audio you choose to record, which is deleted once transcribed), identifiers (your account), purchases (that you paid), and diagnostics, all used only to provide the Service.
- Data used to track you: none. Data sold: none. Data shared for advertising: none.
- Encrypted in transit: yes, everything travels over HTTPS. You can ask us to delete it: yes, see Deleting your data.
Who We Share It With
Only the providers that run the Service for us, each under its own privacy policy and only for that job:
- Vercel hosts the Service and stores its data.
- Stripe processes payments. If you turn on card gifts, Stripe processes guests' card gifts into your own Stripe account; we keep only the guest's name and message, the amount and Stripe's reference.
- OpenAI powers the AI helpers. It receives only what you type into a helper and the event details it needs, and your guest list only when you ask it to read one (pasting a list of households or families, with phone numbers and emails removed first). Photo Groups' Smart Import sends the list you paste with every phone number and email replaced by a placeholder; a photo or PDF of a list is sent as it is, only after you agree on the screen. For Meeting Notes it receives the audio you choose to record or upload, in parts, to transcribe it, and then the transcript to write the notes; we never store the audio, and each part is deleted as soon as it has been transcribed. If you record other people, tell them first: some places require everyone's consent. When a visitor picks a language with Translate on a public page (our website, the vendor directory, a wedding website, an RSVP or other guest page), the text shown on that page is sent to translate it, never what anyone types into a form, and the translations are kept to show the next visitor. The app asks your permission before the first AI feature sends anything, and you can turn AI features off any time in Account, under Privacy (AI Features): while they are off nothing more is sent, and your messages to support are read by a person, not AI. Under OpenAI's API terms this is not used to train its models.
- Recall.ai, only when you send our notetaker (Shaadi Planning Notetaker) to a Google Meet, Zoom or Teams call yourself: it joins that call, records and transcribes it, and hands us the transcript; then the recording and its transcript are deleted on its side. It shows on the call as recording the whole time.
- Resend sends our emails (sign-in codes, alerts, the daily summary, messages to your guests).
- Telnyx delivers texts. It receives the guest's mobile number and the message, only to deliver it.
- Apple and Google deliver push notifications to your devices, and handle sign-in if you choose them.
Your wedding website shows guests only what you choose to publish. People you invite to your wedding see what their access level allows. Our support team can see your planner only with a time-limited, read-only support key that you approve (or, in an emergency, our owner, which is logged and told to you). We may disclose information if the law requires it.
Emails From Us
Emails about your account, purchases, sign-in, support and your wedding are part of the Service. Newsletters and planning tips are separate and only with your permission: the box that asks is never ticked for you, and we keep when you agreed and on which form. Every newsletter has an Unsubscribe link that works in one click (and your email app's unsubscribe button), and unsubscribing never affects your account emails. This is how we meet Canada’s Anti-Spam Legislation (CASL), the UK’s PECR, the GDPR and India’s DPDP Act.
Photo Groups and Texts
If you add texts to your wedding, you consent to us sending photo-group texts to the guests whose numbers you or they add, for your wedding only. Before any text is sent, you confirm that your guests agreed to get texts about your wedding; we record that, with the time. A guest who adds their number on our form agrees to texts for that wedding only; that agreement is separate from your account and is recorded too. Message frequency varies (usually 1 to 4 per guest). Message and data rates may apply. Reply STOP to any text to stop all texts from us to that number, START to allow them again, and HELP for help. We keep the list of numbers that replied STOP, so we never text them again. Consent to texts is not a condition of any purchase: emails to guests work without it. Texts go only to mobile numbers in the United States and Canada, where our number is registered to send; guests with a number anywhere else get the same messages by email. Our texting program follows the TCPA, the CTIA Messaging Principles and Best Practices, and carriers' 10DLC rules. See the SMS Terms.
How Long We Keep It
- Guest phone numbers and emails in Photo Groups: deleted 2 days after the photo day.
- Your wedding workspace: for as long as your wedding exists in the Service. When you delete the wedding, or your account if you are the only one with full access, everything in it is deleted.
- Meeting recordings: the audio is never stored: it is deleted as soon as it has been transcribed. The transcript and the notes stay with your wedding until you delete them (you can delete the transcript alone), or the wedding is deleted. A planner's team-only notes stay in the planner's account until the team deletes them.
- Numbers that replied STOP: kept so we never text them again.
- Payment records and the agreements you accepted: kept for 7 years, as tax and consumer laws require.
- Support messages, the history of changes and support access: about 1 year, for security and to resolve disputes.
- Push tokens: until you turn notifications off or the token stops working.
We do not promise backups of your data. Keep your own copies of anything important, for example by downloading your guest list as a CSV.
Visit Counts
We count visits to our pages and to couples’ wedding websites, RSVP and address pages: which page, the site you came from, your country and whether you are on a phone or computer. We do not use cookies for this, keep no IP address or identifier, and keep only totals per day. If your browser sends Do Not Track or Global Privacy Control, nothing is counted. Couples see the totals for their own pages; nobody sees who visited.
Cookies
We use only the cookies the Service needs: one that keeps you signed in, and a short-lived one during a sign-in with Google, Apple or Facebook. No analytics, tracking or advertising cookies. See Cookies.
Security
Everything travels over HTTPS. Your data is stored privately, sign-in uses one-time codes and the providers you choose (we store no passwords for couples), access is limited by role and every support look is logged. No method of storing or sending data is 100% secure, so we cannot guarantee absolute security; if we learn of a breach that affects you, we will tell you as the law requires.
Children
The Service is not directed at children under 13, and we do not knowingly collect their personal information. A couple may add a child's name to their guest list as part of a household; please do not add a child's phone number or email. If you believe a child has given us personal information, write to support@shaadiplanning.app and we will delete it.
Your Rights
Wherever you live, you can ask to see, correct, download or delete the information we hold about you, object to how we use it, or withdraw consent (for texts, reply STOP). California residents have the right to know, delete and correct, and to opt out of the sale or sharing of personal information: we do not sell or share it, so there is nothing to opt out of and no “Do Not Sell or Share” link is needed. We still honor Global Privacy Control signals. If you are in the European Economic Area or the UK, we use your information to perform our contract with you, with your consent (texts and optional emails), for our legitimate interests (security and improving the Service) and to meet legal duties, and you can complain to your local data protection authority. Under the GDPR and the UK GDPR you can also ask us to restrict how we use your information, and to give it to you in a portable form.
India. Under the Digital Personal Data Protection Act, 2023, you can ask for a summary of the personal data we hold about you and who we shared it with, ask us to correct, complete, update or erase it, withdraw your consent as easily as you gave it, and name someone to use these rights for you if you die or cannot. Write to our grievance contact at support@shaadiplanning.app; if we do not resolve your grievance, you can complain to the Data Protection Board of India.
Canada. Under PIPEDA you can see and correct the personal information we hold and withdraw consent. If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada.
Australia and New Zealand. Under Australia’s Privacy Act 1988 and its Australian Privacy Principles you can see and correct your information, and complain to the Office of the Australian Information Commissioner if we do not resolve it. In New Zealand, the Privacy Act 2020 gives the same rights, and you can complain to the Office of the Privacy Commissioner.
Doing it yourself. Signed in, open Account, then Your Data: Download My Data gives you everything we hold about you (and, with full access, your wedding) as one file you can keep or move elsewhere. You can correct most of it yourself in the planner and on the Account screen.
Making a request. Use the privacy request form or write to support@shaadiplanning.app from the email you use with us (or tell us which wedding you are a guest of). A guest whose details a couple added can ask us directly. We email you to say we have it and reply within 30 days, or sooner where your law says so, and may need to confirm it is you. We never charge for a request, and we will not treat you differently for making one.
Deleting Your Data
In the app: Account, then Delete. Without the app: use the form on Delete Your Account or the privacy request form. A guest can ask the couple, or us, to remove their details.
Where It Is Stored
The Service is run from the United States. If you use it from elsewhere, your information is processed in the United States, with the protections in this policy.
International transfers. When you use the Service from outside the United States, including from the European Economic Area, the UK, India, Canada, Australia or New Zealand, your information is sent to and stored in the United States, where data protection law may differ from yours. We send it there because it is needed to give you the Service you asked for. Our providers (listed above) handle it under their own data processing terms, which include safeguards such as the European Commission’s Standard Contractual Clauses and the UK Addendum where the law requires them. You can ask us about these safeguards at support@shaadiplanning.app.
Changes
If this policy changes we update the date above, and if the change matters, we ask you to accept it the next time you sign in.
